For schools & IT
Plain-language facts for school tech coordinators, and for teachers who need a tool approved before they use it. CatalogProFlow is a design workspace for teachers: classroom templates and free ready-made teaching kits. Students don't have accounts.
No student accounts
- Accounts are for adults: teachers, school staff, homeschool parents and adult students (18+).
- Students under 18 don't sign up, and we don't knowingly collect personal information directly from them.
- Students only see what a teacher prints or chooses to share.
What we store
- The teacher's account: name, email and password (stored only as a secure hash), or their Google sign-in.
- What the teacher makes: designs, saved teaching kits, the workspace name, logo and colours.
- Basic usage data: pages visited, device type, approximate location and a random visit ID kept in the browser, not the teacher's name or email.
- No advertising cookies or third-party trackers.
Student information a teacher adds
- A teacher may type first names or paste a class list, for example for certificates or name tags.
- Class lists pasted for certificates are read in the browser to make the designs. Names that end up in a saved design are stored only as part of that design.
- Used only to provide the service: never for advertising, profiling or selling, and never to train AI models.
- We ask teachers to add only what a design needs (usually a first name) and no sensitive details such as student ID numbers, grades, health or family information.
AI and student data
- Ready-made teaching kits and the maths, vocabulary and notes kit makers don't use AI at all.
- AI features are optional. When a teacher uses one, the request text is sent to our AI provider to produce the result.
- Before a custom AI teaching kit request is sent, email addresses, phone numbers and long ID-like numbers are removed, and requests that look like they name students are refused.
- We don't use content to train AI models, and we ask our providers not to.
Sharing is the teacher's choice
- Designs and kits are private to the workspace until a teacher turns on a view-only link.
- A shared kit shows the lesson content only, with no school, class or student details. Links can be turned off at any time.
- Inside a workspace, access is limited to its members, and data is encrypted in transit.
Admin controls
- A workspace owner or admin invites teachers by link, chooses each person's role (for example admin, editor or view-only) and can remove members.
- The School plan covers up to 10 teachers in one workspace; Teacher Pro up to 3.
- Teachers can delete their designs at any time.
FERPA and school records
When a school or teacher uses CatalogProFlow with student information from education records, we act on the school's behalf as a service provider under its direct control, use that information only for the school's purposes, and don't re-disclose it except to the service providers we use to run CatalogProFlow. The school remains responsible for its obligations to parents and eligible students.
Many districts ask vendors to sign a data privacy agreement. We're happy to review your district's data privacy agreement: email it to support@catalogproflow.com.
Who we share data with
Only service providers that help run CatalogProFlow, under contracts that protect it. We don't sell personal information.
- Hosting, database and file storage providers
- Stripe, for subscription payments
- AI model providers, for AI features a teacher chooses to use
- Font and content-delivery providers (for example Google Fonts)
- MaxMind, to estimate a visitor's city and country from their IP address (the address itself is not stored)
Deleting data
Teachers can delete designs at any time. To delete a whole account or all of a school's content, including any student information, email support@catalogproflow.com. We do it within 30 days, except records we must keep for legal or tax reasons, such as payment records.
Teachers: getting it approved
- 1
Check your school's list
Many schools and districts keep a list of approved apps. Ask your tech coordinator or look on the staff intranet.
- 2
Send this page
Share this page and the privacy policy with whoever reviews new tools. They answer the usual questions about accounts, student data and AI.
- 3
Ask for an agreement review if needed
If your district uses a data privacy agreement, ask them to email it to support@catalogproflow.com. We're happy to review it.
- 4
Keep student details out until then
Ready-made kits and classroom templates work without any student information, so you can plan and print while you wait.
Questions from schools
Do students need accounts?
No. Accounts are for adults (18 or older). Students under 18 don't sign up; they only see what their teacher prints or chooses to share by link.
Is student information used to train AI?
No. Information a teacher adds is used only to provide the service, never for advertising, profiling or selling, and we don't use it to train AI models. We also ask our AI providers not to.
Can you sign our district's data privacy agreement?
We're happy to review your district's data privacy agreement. Email it to support@catalogproflow.com with your district's name and we'll reply.
How do we delete our data?
Teachers can delete designs at any time. A school or teacher can ask us to delete all of their content, including any student information, by emailing support@catalogproflow.com; we do so within 30 days.
Do teachers need to pay?
No. The free plan includes every classroom template and the ready-made teaching kits. Paid plans add more designs, AI uses, print-ready export and more teachers per workspace.
